Job Description

INT INC. is looking to expand its Project Management Team with the addition of a Project Coordinator.  This role would work closely with the Operations Team leaders to coordinate, organize, and manage various internal and external projects. The ideal candidate has strong communication, organizational, and time management skills and works very well in both a team setting and individually.  We need someone willing to take charge of simultaneous projects, sometimes ambiguous, and drive them to completion while communicating to all those involved in the project.  A proactive mindset and a love for problem-solving, process improvements, and adhering to standards are a must.

Job Duties & Responsibilities

  • Own and manage multiple projects simultaneously, from conception to completion, tracking all relevant details using a management tool and documenting lessons learned for future project consideration. 
  • Act as the main point on both internal projects and external, client-facing projects, providing concise updates to stakeholders in a timely fashion to keep projects on track. 
  • Plan and manage all project-related meetings. 
  • Participate in pre-project design and planning meetings. 
  • Communicate critical project information to internal teams and resources across all departments and levels, effectively and efficiently, ensuring everyone is on task and moving in the same direction. 
  • Identify and document project risks and execute issue management protocols (communicating risks, challenges, issues, resolutions/mitigation plans, implementing solutions). 
  • Facilitate communication with key stakeholders showing progress against project objectives & milestones; provide supporting details when a project is off track and why scope and/or schedule adjustments are required. 
  • Work with process manager on internal and business partner process-related projects. 
  • Assist in creating repeatable/templated processes for Client product projects including designing templates, documenting steps/instructions, implementation planning, process monitoring, and ongoing improvement. 
  • Collaborate with the Operations Team to generate and maintain various types of documents for use throughout the organization, and occasionally, externally.  
  • Participate in strategic discussions and planning sessions with Operations Department Leadership. 
  • Partner with Operations Department Leadership to create and administer internal best practices for project management across the organization.  



Qualifications 

Experience: 

  • Associate Degree 
  • 1-3 Years’ experience as a Project Coordinator, Specialist, Leader, Administrator, or similar, overseeing projects ranging in complexity and length, from conception to closeout (with or without oversight or support from senior Project Managers). 
  • Proven understanding of Project Management methodologies and implementation of best practices. 
  • Comfortable with communicating and interacting with senior leadership and/or stakeholders regularly. 
  • Tracking and keeping projects organized. 
  • Directing/managing project resources. 
  • Familiarity with Process Management fundamentals and best practices (information gathering, analysis, interpretation, documentation, improvement/solutions, monitoring, implementation). 

Tools: 

  • Familiar with Microsoft 365: Outlook, Office (Word & PowerPoint), OneDrive, and general SharePoint usage. 

Skills:  

  • Exceptional communicator, both written and verbal. 
  • Creative; always thinking outside the box and not afraid to go outside comfort zones. 
  • Critical thinker and problem solver with strategic mindset.
  • Conformance to company, department, or specific job role standards and processes. 
  • Stellar attention to detail, time management and task prioritization. 
  • Comfortable with virtual meeting and communication applications for remote working. 


Preferences 

  • Advanced Microsoft 365 knowledge (PowerPoint, Word, Excel). 
  • Flowcharting application knowledge.
  • Project Management/Time Management tools familiarity (Teamwork, MS Project, Trello, JIRA, etc.) 
  • Higher educational degree a plus
